Nova Dent Privacy Policy

Nova Dent (“Nova Dent,” “we,” “our,” or “us”), operated by Nova Group Co., Ltd., is committed to protecting the privacy, confidentiality, and security of clinic and patient data. This Privacy Policy explains how we collect, use, store, retain, disclose, and protect information when clinics use the Nova Dent software and related services.

By accessing or using Nova Dent, you agree to the practices described in this Privacy Policy.


1. Information We Collect

1.1 Clinic & Account Information

We collect essential information required to set up and verify your clinic account, such as clinic name, contact details, user login credentials, subscription details, and payment information.

1.2 Patient & Treatment Data

Clinics may upload patient information including demographics, medical/dental history, treatment records, appointments, billing data, images, and documents.
This data is owned by the clinic. Nova Dent acts only as a secure processor on behalf of the clinic.

1.3 System & Usage Data

We collect device information, IP address, log activities, access times, and software interaction patterns to improve system performance, security, and user experience.


2. How We Use Your Information

2.1 Service Delivery & Account Management

  • Provide clinic management features (appointments, patient records, billing, inventory).
  • Enable secure login, backup, and synchronization across devices.
  • Send service notifications, updates, and technical alerts.

2.2 System Improvement & Analytics

We analyze anonymized usage patterns to enhance performance, detect bugs, optimize workflow, and develop new features. No identifiable patient data is used for analytics.

2.3 Customer Support

We may access clinic data only upon clinic request to troubleshoot issues or perform data migration/import services.

2.4 Legal or Compliance Requirements

We may process or disclose information if required by law or to protect system security, prevent misuse, or comply with government regulations.


3. Data Storage & Security

3.1 Cloud Infrastructure

Nova Dent uses secure, encrypted cloud servers with routine backups. All patient data is stored using industry-grade encryption both at rest and in transit (HTTPS/SSL).

3.2 Access Control

  • Role-based access control for clinic staff
  • Two-factor authentication support (if enabled by clinic)
  • Automatic session time-outs

3.3 Data Retention

We retain clinic and patient data for as long as your subscription remains active. 

  • Upon subscription termination or contract cancellation, Nova Dent will retain clinic data for a minimum of three (3) years, unless a longer period is required by law. 
  • Data is retained to allow account reactivation, legal compliance, or clinic requests for data access.

3.4 Data Deletion & Export

Clinics may, at any time during or after the retention period, request:

  • Permanent deletion of all clinic and patient data; or
  • A copy of their data, provided in CSV format and sent to the clinic’s registered email address.

Once data is permanently deleted, it cannot be recovered. Nova Dent is not responsible for data after successful export or deletion at the clinic’s request.


4. Data Ownership & Sharing

4.1 Ownership

Clinics fully own the patient and clinical data. Nova Dent does not sell, share, or use this data for marketing.

4.2 Third-Party Services

We may work with trusted third-party providers for secure payment processing, cloud hosting, and system infrastructure. These providers follow strict confidentiality and data-protection requirements.

4.3 No Unauthorized Access

Nova Dent staff cannot access patient data without clinical permission, except when legally required or necessary for security investigations.

4.4 Research & System Improvement

Clinics may request the use of their data for research purposes through formal written consent. Any approved research must acknowledge Nova Dent. Data used for internal system improvements will be anonymized and aggregated where possible.


5. User Rights & Control

Clinics and authorized users have the right to:

  • Access, edit, or delete patient data within the software
  • Export patient records or clinic data upon request
  • Request data backups
  • Control staff permissions and access levels
  • Request account deactivation or data deletion

6. Cookies & Tracking Technologies

Nova Dent uses minimal cookies to maintain secure login sessions, improve stability, and remember user preferences. We do not use tracking cookies for advertising.


7. International & Local Compliance

Nova Dent follows internationally recognized data-protection standards (e.g., GDPR principles) and aligns with local regulations applicable in Myanmar and the regions where we operate.


8. Updates to This Policy

We may revise this Privacy Policy from time to time. Changes will be posted within the software dashboard. Continued use of Nova Dent after updates means you accept the revised policy.
